How to set therapist CPT rates for therapist invoices

Purpose:

To provide administrators with a step-by-step guide for configuring default and flat-rate CPT billing rates for therapists in HelloNote EMR, ensuring accurate and consistent invoicing for services rendered.

Scope:

This procedure covers:

• Setting default rates for all treatments
• Configuring flat per-unit rates for specific CPT codes
• Location-specific rate assignments
• System confirmation and saving of rate changes

Procedure:

A. Set Default Rates for All Treatments

1. Navigate to Administration > Users
2. Select the therapist → Click Action > Edit
3. Go to the Therapist Rates tab
4. Under Treatment Rates, click New
5. Select the Location
6. Enter the Default Rate (e.g., $25)
7. Click Add → Confirm with Yes

B. Set Flat Per-Unit Rates for Specific CPT Codes

1. Follow Steps 1–4 above
2. Select the Location
3. Choose the specific Treatment (CPT Code)
4. Enter the Flat Rate per Unit
5. Click Add to save

select location and add the rates for all Treatments and confirm
