How to Post Payments for Patient Visits?
Purpose:
To provide clear instructions for recording patient payments in HelloNote EMR, ensuring accurate account balances and financial tracking for both completed and scheduled visits.
Scope:
This article covers:
- Payment processing for completed visits (black entries)
- Payment application workflow
- Partial payment handling
Excludes: - Insurance claim payments
- Payment plan setups
- Refund processing
Procedure:
- Navigate to Visits/Receipts:
- Select patient → Go to Visits and Receipts tab
- Identify Visit Status:
- Black entries: Completed visits (ready for payment)
- Red entries: Scheduled visits (not yet documented)
- Apply Payment:
- Click Actions → Post Payment (green +)
- Enter:
- Payment amount (e.g., 75of75of100 balance)
- Payment type (cash/check/credit card)
- Optional notes
- Click Save
- View Updated Balance:
- System automatically calculates remaining balance (e.g., $25)
