How to Post Payments for Patient Visits?
Purpose:
To provide a step-by-step guide for accurately recording patient payments in HelloNote EMR, ensuring proper account balancing and financial tracking.
Scope:
This article covers:
- Navigating to the payment posting interface
- Distinguishing between completed and pending visits
- Applying full or partial payments to patient accounts
Excludes: - Insurance payment posting
- Bulk payment processing
- Payment plan setups
Procedure:
- Access Visits/Receipts:
- Select patient → Navigate to Visits and Receipts tab
- Identify Visit Status:
- Black text: Completed visits (payment eligible)
- Red text: Pending visits (cannot receive payments)
- Post Payment:
- Click Actions → Post Payment (green + button)
- Enter:
- Payment amount (e.g., 75of75of100 balance)
- Payment type (cash/check/credit)
- Optional comments
- Click Save
- Verify Balance:
- System automatically updates remaining balance (e.g., $25)
