How to use the Waitlist feature?
UPDATE:
Display Waitlist Button on the schedule even when count is Zero
Purpose:
To provide a comprehensive guide for both clinicians and patients to utilize HelloNote's waitlist functionality, improving appointment scheduling efficiency and patient access to care.
Scope:
This article covers:
- Two waitlist addition methods:
- Therapist-initiated via Schedule Tab
- Patient self-service via Portal
- Waitlist management workflow
Excludes: - Automatic appointment assignment
- Waitlist prioritization settings
- Notification configurations
Procedure::
For Therapists:
- Navigate to Schedule Tab
- Click on Waitlist Queue/Pending Appointment
- Click Add Patient > Enter details > Save. You can also add a new patient on the waitlist by checking the New Patient Box
For Patients:
- Log in to Patient Portal
- Scroll to bottom > Click Add to Waitlist
- Submit required information
Post-Addition:
- All entries appear in Waitlist Queue/Pending Appointments
- Requires staff approval for scheduling

There are 2 ways for a patient to be added to the waitlist
1. As a Therapist on the Schedule Tab > Click on Waitlist Queue/Pending Appointment
2. As a patient on the Patient Portal > Scroll to the bottom of the Patient Portal page > click on Add yourself to the wait list.
Input the details and click on Submit.
All Patients added to the Waitlist feature will show in the Waitlist Queue/Pending Appointment and is subject for approval.
